At Pixara, we value every client’s unique needs while maintaining a commitment to fair and transparent policies. Our cancellation policy is designed to balance flexibility with the resources required to provide quality service. Please review our terms below
1. Cancellation Policy Overview
Cancellations made within specific time frames from the scheduled event date are subject to the terms below. Any booking fees or deposits collected serve to secure your date and cover initial planning costs.
2. Cancellation Time Frames and Refunds
Cancellations 30 Days or More Before the Event Date
Refund Policy: You will receive a full refund of the booking deposit, minus a 10% administrative service fee.
Rationale: This period allows us to reschedule or accommodate other clients, hence we can provide a substantial refund.
Cancellations 15-29 Days Before the Event Date
Refund Policy: A 50% refund of the booking deposit will be issued.
Rationale: Cancellations within this time frame impact planning and resource allocation; thus, a partial refund is provided to cover preparatory costs.
Cancellations Within 14 Days of the Event Date
Refund Policy: No refund will be issued for cancellations made within this period.
Rationale: Due to the last-minute nature, resources are often allocated and planning has been extensively carried out, making a refund unfeasible.
3. Rescheduling Policy
Advance Notice (30 Days or More)
We offer a one-time complimentary rescheduling if requested at least 30 days before the event. This rescheduling is subject to availability on the newly requested date.
Notice Within 15-29 Days
Rescheduling requests within this period will incur a fee based on our service and preparation costs.
Notice Within 14 Days
Last-minute rescheduling requests are not guaranteed. If possible, they will incur a higher fee due to resource commitments. Rescheduling within this period may also be subject to additional fees for any services or vendors already secured.
4. Special Circumstances and Exceptions
Unforeseen Events (Extreme Weather, Natural Disasters, Emergencies)
If an event must be canceled due to uncontrollable circumstances, such as natural disasters, government-imposed restrictions, or severe weather, we will collaborate to reschedule where feasible or discuss alternative refund options.
Medical Emergencies or Family-Related Cancellations
For cancellations due to medical emergencies or family-related incidents, proof may be required, and we will assess refunds or rescheduling on a case-by-case basis to accommodate these special situations.
5. Non-Refundable Fees and Custom Orders
Certain custom orders or special requests may involve additional costs and planning commitments. These fees, including rush services, custom props, or third-party arrangements, are generally non-refundable. Such details will be clearly outlined in your service agreement.
6. Communication of Cancellation
All cancellations must be submitted in writing via email to contact@pixara.in
Cancellations or rescheduling requests communicated via phone or social media are not considered valid until confirmed in writing.
7. Refund Process
Refunds are processed within 14 business days of the confirmed cancellation date, following any necessary verification and fee deductions.
Refunds are issued via the original payment method unless otherwise specified or agreed upon.
